Ledgex (“we”, “us”, or “our”) provides a collaborative expense platform designed for travel groups. We are committed to protecting your privacy and being transparent about how we handle personal information.
2. Information we collect
- Account information: name, email address, avatar, Apple ID or Google ID, and authentication tokens.
- Trip information: trip names, descriptions, participant lists, expense details, photos of receipts, settlement receipts, and comments you add.
- Device and usage data: device model, OS version, IP address, crash diagnostics, app version, and analytics events about how features are used.
- Support correspondence: emails, in-app messages, and related metadata when you interact with our support team.
3. How we use your information
- Operate, maintain, and improve the Ledgex application and associated services.
- Sync trips and expenses across group members’ devices in real time.
- Send notifications about shared activity, reminders, and product updates (which you can manage in settings).
- Provide customer support and troubleshoot issues you report.
- Monitor usage trends and enhance the stability, security, and performance of the service.
- Comply with legal obligations and enforce our Terms of Service.
4. Legal bases for processing (EEA/UK users)
If you live in the European Economic Area or the United Kingdom, we rely on the following legal bases:
- Contract: processing necessary to provide the Ledgex service you requested.
- Legitimate interests: improving security, preventing abuse, and understanding usage patterns.
- Consent: optional features like marketing emails or storing receipt photos.
- Legal obligation: retaining records required by applicable law.
5. How we share information
We do not sell personal data. We share information only in the following situations:
- With your trip members: trip data is visible to everyone invited to that trip.
- Service providers: trusted vendors such as Firebase (hosting, authentication), Apple (Sign in with Apple, App Store), and analytics providers that help deliver the service.
- Legal compliance: to comply with lawful requests, court orders, or to enforce our agreements.
- Business transfers: if we ever merge or transfer the service, we will ensure the acquiring party honors this policy.
6. Data retention
We retain trip and account data for as long as you maintain an account. If you delete a trip or your account, we remove associated data from active systems and scheduled backups on a rolling basis (typically within 30 days) unless we must retain it for legal reasons.
7. International data transfers
Ledgex is hosted in the United States using Google Cloud Platform. When you use the service from another country, your information may be transferred, stored, and processed in the U.S. We rely on standard contractual clauses and other safeguards required by applicable law.
8. Your rights and choices
- Access, update, or delete profile details directly within the app.
- Download a copy of your trip data by emailing privacy@ledgex.app.
- Request deletion of your account via in-app settings or by contacting support.
- Opt out of marketing emails by using the unsubscribe link or adjusting settings.
- For EEA/UK residents, you can object to processing or request restriction/portability by contacting us.
9. Children’s privacy
Ledgex is not directed to children under 16. If we learn that a child has provided personal information without parental consent, we will delete it promptly.
10. Security
We implement technical and organizational measures such as encrypted connections (HTTPS), access controls, regular security reviews, and audit logging. No system is completely secure, so please notify us immediately if you suspect a security issue.
11. Changes to this policy
We may update this policy to reflect product, legal, or regulatory changes. We will notify you in-app or via email when updates are material. The “last updated” date indicates the latest revision.
